This Privacy Policy sets out how eZTrack Telematics ("eZTrack", "we", "our" or "us") collects, uses, stores, shares, retains and protects any information that users provide to eZTrack, or that we collect about you, when you access the eZTrack website or use eZTrack applications (including our mobile applications) and related services (collectively, the "Service"). The Service is a GPS-based vehicle, asset and fleet tracking platform used by fleet operators, ambulance and transport service providers, and their authorised personnel.

Should we ask you to provide certain information by which you can be identified, you can be assured that it will only be used in accordance with this Privacy Policy. By using the Service, you agree to the collection and use of information as described here.

In many deployments the Service is provided to an organisation (such as a fleet owner or ambulance operator) that uses it to track its vehicles and assigned drivers or personnel. In those cases the organisation acts as the controller of that data and eZTrack processes the data on the organisation's behalf and instructions.

• Account details: name, email address, mobile number, username and password, role/designation, and organisation or company name.
• Vehicle and asset details: vehicle registration number, device IMEI/serial, vehicle type, assigned routes and geofences.
• Any information you submit through support requests, forms or communications with us.

The core function of the Service is location tracking. We collect precise GPS location data from the device and/or installed GPS hardware, including in the background while the Service is active, to provide live tracking, trip and route history, distance and fuel reports, geofence and movement alerts, and emergency/SOS features. Background location collection is essential to these tracking features; without it the Service cannot function.

• Device model, operating system and version, application version.
• Unique device identifiers, IP address, and mobile network information.
• Crash logs, diagnostic data and error reports used to maintain and improve the Service.

We collect information about how the Service is used, such as features accessed, actions taken, and timestamps, to operate, secure and improve the Service.

• To provide live vehicle tracking, location history and route playback.
• To generate trip, distance, fuel, attendance and other operational reports.
• To deliver geofence, speed and movement alerts and emergency/SOS functions.
• To create and manage user accounts and provide customer support.
• To maintain, secure, troubleshoot and improve the Service.
• To comply with applicable legal and regulatory obligations.

We do not sell your personal data. We share information only as follows:

• With your organisation: if you use the Service under an organisation or fleet account, your data (including location data) is available to that organisation and its authorised users.
• With service providers: trusted third parties who host our infrastructure, provide maps, push notifications and analytics, who are bound by confidentiality obligations and may only process data on our instructions. These may include Google Maps Platform and Google Firebase Cloud Messaging (for push notifications). Each has its own privacy policy.
• For legal reasons: when required by law, regulation, legal process or enforceable governmental request.
• Business transfers: in connection with a merger, acquisition or sale of assets, subject to this Privacy Policy.

We retain your information only for as long as it is needed for the purposes described in this policy, after which it is deleted or anonymised. Our retention periods are as follows:

• Account information (name, email, phone, login details): retained for as long as your account remains active. After your account is closed or deleted, this data is permanently deleted within 90 days, except where we are required to keep it longer (see below).
• Location / GPS history data: retained for up to 12 months from the date of collection, after which it is permanently deleted or irreversibly anonymised.
• Diagnostic, crash and usage logs: retained for up to 90 days.
• Backups: data in routine backups is purged within 30 days of its deletion from our live systems.
• Records required by law: certain records may be retained for longer periods where necessary to comply with legal, tax, accounting, audit or dispute-resolution obligations. Such data is held only for as long as that obligation requires and is then deleted.

You can request deletion of your account and the personal data associated with it at any time, using any of the following methods:

• In-app: go to Settings → Account → Delete Account (where this option is available in your app version).
• By web request: visit https://eztrack.in/data-deletion.html and submit your request.
• By email: write to us at support@scmcpvt.com with the subject line "Data Deletion Request", from the email address registered to your account.

On receiving a verified request, we will delete your account profile and associated personal data, including your stored location history, within 30 days, and confirm once completed. Some data may be retained beyond this period only where required for the legal obligations described in Section 4, or in anonymised/aggregated form that can no longer identify you.

Please note: if your account was created and is managed by an organisation (for example, your employer or a fleet operator), that organisation controls your data. In such cases we may direct your deletion request to that organisation, who is responsible for authorising and instructing the deletion.

Our mobile application may request the following permissions to provide its features:

• Location (including background location): required to provide live tracking, route history and location-based alerts, which are the core purpose of the Service. Location is collected and used only to deliver these features.
• Notifications: to deliver tracking, geofence and emergency alerts.
• Other device permissions strictly necessary for the features you use.

We use appropriate technical and organisational measures to protect your information, including encryption of data in transit (HTTPS/TLS), access controls and restricted access on a need-to-know basis. While we work to safeguard your data, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

The Service is intended for use by businesses and adults and is not directed at children. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us so we can delete it.

The Service may rely on third-party services (such as mapping, hosting and push notification providers) to operate. These providers process data only as needed to provide their service to us and are governed by their own privacy policies.

Subject to applicable law (including, in India, the Digital Personal Data Protection Act, 2023), you may have the right to access, correct, or delete your personal data, to withdraw consent, and to obtain information about how your data is processed. To exercise any of these rights, contact us using the details below.

eZTrack may update this Privacy Policy from time to time by updating this page. We encourage you to review this page periodically. Significant changes will be reflected by updating the "Last updated" date at the top of this page.
